The W.C.Y.A.A. board met on Wednesday, January 23, at the W.C.Y.A.A. offices in Lucama at 7:30pm. Those in attendance were as follows: Jay Neely (RR), Kathy Thigpen (Saratoga), Larry Thigpen (Saratoga), Sherry Bunting (EC), Billy Bunn (EC), Lee Ann Madar (NH), Ed Brown (NH), Gay Varnell (LW), and Tony Rickets (Lucama). Athletic Director Mickey Davis presided over the meeting.
Topics discussed:
Mickey discussed the current basketball season in detail. He asked the board members to make sure that the scoresheets has full team names and final scores written on the sheets before turning them into the W.C.Y.A.A. offices. Discussion followed on schedules and tournament sites.
The tournament schedule locations were set by the board as follows:

High School players were also discussed because of a possible problem with the Wilson Boy’s and Girl’s Club. All teams must play under the same rules.
Mickey discussed the upcoming volleyball and soccer seasons. Volleyball and soccer registrations will start February 1 and run through March 1. After the March 1 deadline, the registration fee will increase by $10.00. Volleyball will be played at Lucama Elementary School every Saturday and Sunday afternoon during the month of March and the first weekend of April. Soccer will be played on Friday and Sundays at the Rock Ridge soccer fields. The season will run through the third week of May.
Age divisions for volleyball are 9U and 14U while soccer age divisions are 2-4 Co-ed Instructional, 5-6 Co-ed, 7-8 Co-ed, 9-10 Co-ed, and 11-14 Co-ed.
Mickey is currently advertising the volleyball and soccer registrations on First Media Radio. This is free advertising for the W.C.Y.A.A. on four separate stations. Mickey is also advertising in the Wilson Daily Times sports section, the website, and has sent out registration forms at Wilson County Elementary and Middle Schools plus Bailey and Middlesex Elementary schools.
Mickey and his staff will also prepare registration form and envelopes for each communities players dating back to the 2007 Spring-Summer Season Baseball and Softball season. The E.C.Y.A.A. will have their envelopes dated back to the 2006 Spring-Summer Baseball and Softball Season.
Mickey discussed the upcoming 2008 Spring-Summer Baseball and Softball registrations for ages 3-12. Each community is asked to turn in their registration information to Mickey no later than Tuesday, January 29. The information includes at least six signup dates, times, locations, and contact persons.
Mickey will send out the registration information to each community’s elementary and middle schools plus send to the Wilson Daily Times, post on the W.C.Y.A.A.’s website, and advertise on the First Media Radio stations (including 98.5).
Registrations will start on Saturday, February 1st and continue until Saturday, March 8th. Anyone registering after March 8th must pay a $10.00 late registration fee. Community’s will take registration forms after March 8th to fill their teams. All other players seeking to register must go through the W.C.Y.A.A. office in order to placed on a team.
The late fees will stay with the individual community.
Opening Ceremony for the 2008 Spring-Summer Season will take place on Saturday, April 5 for the baseball program and Sunday, April 6 for the softball program. Locations will be sent out early next week.
Paperwork including individual registration sheets, roster sheets, and fees ($20.00 per player plus $5.00 per player out of county fee) must be turned into the W.C.Y.A.A. offices no later then Thursday, March 20th. A scheduling meeting will take place on Sunday, March 23, at 8:00am.
Mickey will mail out the new registration forms on Thursday, January 30 along with copies of the January 23 board meeting minutes, the monthly financial statement, and a running total sheet for registrations.
The running total sheets are to be faxed to the W.C.Y.A.A. offices immediately after each registration date.
Gay Varnell brought up the fact that Vanessa Smith, W.C.Y.A.A. secretary, has been an employee for the program for two full years and had not had a raise in salary. Mickey suggested a raise to 9.50 per hour and the board pass the motion by a 9-0 vote. Vaness’a original salary was $8.00 per hour. Motion was made by Gay and seconded by Tony Ricketts.
Mickey discussed the following W.C.Y.A.A. tournaments that will beheld during the summer of 2008:
District Four Baseball Ages 8, 9, 10, 11, and 12
9 Year Old State Ages 9
South East Regional Softball Tournament Ages 8U, 10U, 12U, 14U,
16U, and 18U
Mickey asked the board to discuss a rule that makes each community divide teams equally (if a community has two or more teams in a age division). Mickey suggested that the board make each community have an evaluation and make it mandatory for each player to attend. If a player is not in attendance, he/she cannot be placed on a team.
After the evaluation, Mickey will meet with the coaches of each age division to handle the draft. Each community will set their time to meet with Mickey on a first come basis.
The coaches and Mickey will discuss each player and rate them either a “A”, “B” , or a “C” with the “A” being the highest. A coin flip will decide who goes first. Each coach will get a chance to draft first. Players must be drafted in their rating. Example: All “A” players will be drafted first, then “B”, then “C”. Coaches cannot draft a “B” player before drafting all “A” players. Coaches must draft their own child in his/her rating. A ten minute trade period will follow each draft. Players can only be traded for players in their own rating. Mickey will sign off on all drafts along with the coaches involved.
The motion was passed by a 8-1 vote and will effective for all sports starting with the 2008 Spring-Summer Baseball & Softball Season.
