Board Meeting Minutes

For

Wednesday, June 7, 2006

 

The W.C.Y.A.A. Board met on Wednesday, June 7, at the W.C.Y.A.A. offices in Lucama. Those in attendance were as follows: Richard Evans, Leslie Pate, Kelvin Brinson, Debbie Baker, Gay Varnell, Ernie Wilson Jr., Morris Jones, and Tom Robinson.

Athletic Director Mickey Davis presided over the meeting.

 

Topics were discussed were as follows:

 

Mickey gave the board a copy of the May 24th meeting minutes and made a correction. The 5-6 Co-ed Tee-Ball Division Tournament will be played at both Elm City and Rock Ridge. The previous meeting minutes stated that the tournament would be played entirely at Rock Ridge.

 

The board then discussed the situation that occurred during a Lee Woodard-Lucama 12U Softball game. A motion by Gay Varnell would have made the head coaches/booster club presidents talk with involved parties with no further penalties but no one seconded the motion. A second motion was made by Ernie Wilson Jr. and reads as follows: The involved parties be put on probation for the remainder of the softball season (including tournament) and the involved parties will be talked to by their coaches and booster club presidents. This motion was seconded by Leslie Pate and passed 7-1. Mickey is to send out letter to the booster club presidents and involved parties as soon as possible.

Mickey asked the board to post the camp forms and WCYAA-Babe Ruth Night forms on the concession stands as soon as possible.

 

Mickey then passed out the brackets for the end of season tournament. Several games will be moved forward so that the tournaments can start on time.

 

Tournament rules were also discussed. They are as follows:

 

  1. Higher seed is home team.
  2. Game balls will be furnished by the W.C.Y.A.A.
  3. No time limits will be used. Games will be played 6 full innings or until someone is mathematically eliminated
  4. Single elimination tournament
  5. Championship Days will be Friday, June 23, and Saturday, June 24. All six communities will share the work details. Mickey will post a schedule in the next couple of days. Elm City and Lucama requested to work on Friday night.
  6. A protest committee will be made available for each game. The protest committee will be made up of one person from each team playing and the third will be a either a W.C.Y.A.A. board member, a booster club officer from a community not involved in that game, or by Mickey Davis.
  7. Admission Fees: All adults (including coaches) will pay $1.00 and school age children will pay 50 cents. Players playing at a site on that particular day will not have to pay. Admission tickets are not transferable to another site.

 

The board members discussed the increase in the 2006-2007 Fiscal Budget that was turned down by the Wilson County Commissioners and County Manager. The increase was to pay benefits (retirement and hospitalization) for the athletic director’s position. A motion was made by Gay Varnell to take the first $6,600.00 in net profit from the tournaments (district, state, regional, and World Series) and put into a separate account to pay for the retirement and insurance for the athletic director. The motion passed by an 8-0 vote. This will encourage the athletic director to work to bring more tournaments into Wilson County for the W.C.Y.A.A. program.

 

Mickey set up another meeting for the booster club presidents to seed the teams for the end of season tournament. This meeting will be held on Wednesday, June 14, at 9:00pm, at the W.C.Y.A.A. offices. The booster club officers will then call their coaches and notify them of their first tournament game times.

 

Mickey will post the tournament brackets on the web page on Friday, June 9, by 10:00am. Copies may be picked up at the W.C.Y.A.A. offices starting Thursday, June 8, at 8:30am.
