Board Meeting
Minutes
For
The W.C.Y.A.A. Board met on Thursday, January 11, at the W.C.Y.A.A. offices in Lucama. Those in attendance were as follows: Mike Renfrow (RR), Wayne Robbins (Saratoga), Shannon Robbins (Saratoga), Kathy Thigpen (Saratoga), Larry Thigpen (Saratoga), Leslie Pate (Lucama), Gay Varnell (LW), Bennie Winstead (EC), Morris Jones (NH), Michael Lane (Lucama), Kelvin Brinson (RR), and Adam Gardner (LW). Athletic Director Mickey Davis presided over the meeting.
Topics discussed were as follows:
Players quitting select/all-star baseball and softball
teams after the voting process:
After the December, 2006, W.C.Y.A.A. Board meeting, Mickey contacted the
W.C.Y.A.A.
secretary and treasurer concerning the tie vote involving the
Allison Robbins situation. After the
vote of the treasurer and secretary, the vote was
still tied.
Mickey suggested to the board that the select process rule on quitting the all-star/select
teams be changed to as follows:
“Players making select/all-star tams will have one month from the first team
practice to rescind their team membership with no penalty if no players was cut
from the team in the voting process. Also, if a player is added after the initial
voting process, the player will get 30 days from their initial practice with the team
to quit the team with no penalty.”
Gay Varnell made the motion after much discussion and the motion was seconded by
Mike Renfrow. The board voted by a 7-2 vote to pass the motion. Therefore, Allison
Robbins will be taken off the roster of the 2007 12U Softball World Series team and
will be allowed to tryout for any 2007 team with no penalty.
This rule change will also effect any player that may have quit a select/all-star team in
the previous season (s). Mickey will notify the three players that have quit 8U Boy’s
team in 2006.
Mickey passed out the forms to be used for the 2007 Spring-Summer Registrations. Included forms were as follows:
A) Sheet requesting information for the newspaper and web site
B) Minimum 50 copies of the 2007 Spring-Summer registration form
C) Copy of the 2007 Spring-Summer Roster Form
***Mickey also explained to the board members that all information must be filled
out on the forms or the forms will not be accepted.
****Mickey will also mail out a registration for to all communities that must be used
for registration. This form is to be used for all age divisions and it must be faxed
directly to the W.C.Y.A.A. offices immediately after each registration date.
Baseball & Softball registrations will start Saturday, January 27, at each community. Each community will be required to host at last 6 registration dates. The final date for each community to hold a registration will be Saturday, February 24.
The W.C.Y.A.A. office staff will contact each involved elementary and middle schools to check on any dates that might cause scheduling problems. The problems we will need to work around will include school trips and PTO’s.
The WCYAA Booster Club Presidents will meet on Sunday, February 25, at 3:00pm, to discuss signups and shortages/overages of players. The board will also discuss the set up of the 2006-2007 Basketball Season Tournament (sites and dates/times).
All paperwork and fees will be due on Friday, March 9, at the W.C.Y.A.A. offices. The offices will be open from 8:30am to 5:00pm. Items due are as follows:
A) $20.00 fee per player
B) $5.00 fee per player for out of county players
C) Individual registration forms for each player
D) Team Roster forms
3-4 Co-ed Instructional Tee-Ball Birth Date Clarification:
Players must be at least 3 years old by March 1, 2007, to play
Players turning 4 years old by March 1 may move up to 5-6 Co-ed Tee-Ball if they
Have played one year of Instructional Tee-Ball.
Each community will need to send one person to the 2007 Baseball and Softball Season scheduling meeting on Saturday, March 17, at the W.C.Y.A.A. offices. The meeting will start at 8:00am. No one outside of the six community people and Mickey will be allowed at the meeting.
Mickey told the board that volleyball and soccer registrations will start on Monday, January 15, at the W.C.Y.A.A. offices. Forms on located on the web site and can be mailed directly to the W.C.Y.A.A. offices at P.O. Box 10, Lucama, Lucama, N.C., 27851. Games and practices will start March 4 and continue through the first Saturday in April. Games and practices will be held only on Saturday afternoons and Sunday afternoons.
Discussion followed on the 11-12 Rule change for Babe Ruth Baseball. The 11-12 boys must play on 70 feet bases and use a 50 feet pitching rubber. Therefore, portable pitching rubbers must be purchased by each community. Mickey is currently getting bids.
The infield at each field must be cut back accordingly and the existing pitching mounds taken off. Wayne County and Greene County are both doing the same.
Mickey asked if there was any problems with the 2006-2007 Basketball Season. New Hope and Lee Woodard have scheduling problems that Mickey is going to work on.
The final date to add players for the 2006-2007 Basketball Season will be Wednesday, January 17. There will be no exceptions.
Mickey discussed the tournaments the W.C.Y.A.A. will host for the 2007 Season. Babe Ruth has offered the W.C.Y.A.A. a 10U National Softball Tournament in addition to the 12U Softball World Series. The 12U World Series will be played at the Onnie Cockrell Sports Complex at Rock Ridge Elementary School August 3-11. The National Softball Tournament will be played August 9-13 at the Lee Woodard Elementary School Ballfields.
There is a big difference in hosting the World Series ($40,000.00 registration fee) and the National Tournament ($2,000.00 fee and no host families). The first 20 teams that register with Mickey for the National Tournament will be accepted (with their non-refundable $350.00 payment).
The W.C.Y.A.A. will also host the 2007 E.N.C. Babe Ruth Softball State Tournament July 11-15 in Wilson County. 45-50 teams from all over Eastern North Carolina will invade Wilson County for this tournament. The winner of the 12U State Tournament will automatically advance to the 12U Softball World Series in Wilson.
Discussion on the 2006 Golf Tournament followed. Lee Woodard supplied 99% of the work and golfers. Leslie Pate made a motion to make a check payable to the L.W.Y.A.A. for the total amount of net profit ($1,017.45). Morris Jones seconded the motion and it was passed by a 9-0 vote.
Mickey will get Randy Waddell to operate the cleaning machine at Lee Woodard Elementary School to clean. Mickey will contact the school also for permission to use the machine. Mickey got Randy to clean the Gardner’s Elementary School gymnasium floor the previous week.
The February, 2007, monthly meeting will be held on February 15, at 7:30pm, at the W.C.Y.A.A. offices in Lucama. Please note that the date was changed on 2-5-07 by Mickey.
Mickey will send out notices to the board members on Monday, January 15, announcing a change in the basketball rules for the 2006-2007 Season. Starting with the games on February 19 through the end of the season and the tournament, if a team is 30 points or more ahead, the clock will continue to run except on free throws for the remainder of the game unless the losing team cuts the lead under 30 points. This new rules does not effect the 15-point rules at all.
